The Human Resources (HR) Administrative Assistant position provides a full range of administrative and clerical services to the HR Department.

This position reports to the Human Resource Manager and is a salary non-exempt position.

GENERAL RESPONSIBILITIES

  • Schedules and coordinates all steps in new hire process, including but not limited to: job postings, travel arrangements, interview, drug testing, new hire paperwork, etc.
  • Makes travel arrangements for corporate executives and visiting contractors.
  • Organizes employee appreciation events and vaccine clinics, as directed by HR Manager.
  • Editor of monthly mill newsletter.
  • Works with supervisors to compile & publish weekly labor pool lists, Union bid postings, etc.
  • Orders office supplies for HR Department.
  • Coordinates employee database, including pictures and biometric registrations.
  • Assist Mill employees as needed.
  • May assist with processing hourly payroll.
  • Performs clerical duties such as: filing, typing, data entry, word processing, prepares reports for HR Manager.

 


MAJOR CHALLENGES

  • Prioritizing work assignments and work flow to complete projects on time and with quality.
  • Interacting with employees at all levels of the corporation in a friendly and welcoming manner.
  • Exercise tact in dealing with personal employee data including HIPAA information.

EDUCATIONAL REQUIREMENTS

  • High School education and 2-5 years minimum office experience. Prefer Manufacturing Experience.
  • Intermediate to advanced skills in Microsoft Word, Excel, PowerPoint and Publisher.

 


SKILLS REQUIREMENTS

  • Previous experience in HR and/or scheduling a plus.
  • Must be a dependable self-starter with demonstrated skills in written and verbal communication, ethics, and confidentiality, as well as productivity and time management.
  • Must have an engaging personality and be able to handle of variety of different situations.
  • Must be detail-oriented and flexible.

WORKING CONDITIONS

  • Wear personal protective equipment as required
  • May have exposure to outdoor elements when traveling between facilities
